OVERVIEW OF JOB Boys Town is seeking a full time Executive Administrative Assistant with advanced PowerPoint skills to support the legal department at our corporate headquarters. In this role, you will perform a wide variety of high level administrative and receptionist duties at an executive level and provide assistance to other departmental staff, volunteers, and visitors. As our Executive Administrative Assistant Legal Department, some of your responsibilities will include: Coordinating and organizing departmental activities, proactively anticipating departmental needs. Reviewing departmental operating practices including record keeping systems, forms control, and personnel requirements, and making suggestions for improvements. Coordinating activities of clerical and administrative staff as needed. Utilizing PowerPoint to create complex presentations. Performing general administrative functions including photocopying, faxing, typing correspondence, mail, and maintaining office supplies. Greeting visitors and staff in person or via telephone, determining their needs and directing them to the appropriate person or office. Processing, maintaining, and filing departmental records including youth files, payroll, purchasing, work orders, and other documents. Maintaining schedules and coordinating calendars for meetings and other events; recording, transcribing, and distributing meeting minutes. Assisting in organizing events as needed. Making travel arrangements and completes expense reports as needed. Tracking, researching, and preparing various reports, material packets, and meeting/presentation materials. Completing departmentally specific administrative tasks as applicable per area of responsibility. REQUIRED EDUCATION, TRAINING, EXPERIENCE, OR SKILLS Associates degree or equivalent. 2-3 years of administrative experience; executive support experience is preferred Legal office administration experience preferred Must have knowledge of office administrative procedures and practices, and filing methods Must have working knowledge of PC software applications with an advanced ability to utilize Windows-based programs and Microsoft Office, including PowerPoint, Excel, and Word. Ability to communicate, verbally and in writing, with individuals at all levels in the organization and with external contacts in an articulate, professional manner while maintaining necessary degree of confidentiality. Ability to work independently, prioritize projects, meet deadlines, and multitask while maintaining quality standards Ability to type accurately and proficiently at a high rate of speed.
