Job Description:/h3:
The Community Managers role is to assist in all efforts to successfully maintain building premises and residential occupancy through effective completion of managerial and administrative duties at all assigned properties. The Community Manager will also be responsible for property maintenance
Human Relations and Services
:Develop rapport, independently solve problems, and respond to residents needs
:Professionally represent the management company to current and prospective residents
:Act as a spokesperson for the corporate office and as a liaison between the corporate staff, residents, contractors, and vendors
:Professionally represent Oakleaf Property Management at inspections and other visits from owners and government housing authorities
Administrative Duties
:Utilize a computer, internet, email,
copy/fax/scanner/printer and software to correspond with the corporate office, generate memos to tenants, and maintain site related information
:Perform maintenance i.e.; minor plumbing reports, minor electrical repairs, carpentry needs
:Comply with Oakleaf Property Management policies and procedures and Fair Housing Law.
:Maintain a file for each apartment containing work orders, inspections, resident correspondence, incidents reports etc.
:Handle the paperwork for Applications, Move:ins, Interims and Move:outs
:Assist the corporate office with Annual Re:Certifications
:Schedule and conduct Move:In, Make Ready and Move:out Inspections
:Ensure the accurate completion of Incident and Accident reports
:Process all resident Work Orders.
:Forward to the corporate office all resident correspondence, inspection copies, and other paperwork as required
:Attend meetings, conferences, and other training as assigned.
:Submit required tracking to the corporate office by required date and time
:Submit documents to the corporate office as required
:Assure that regular upkeep, maintenance, and cleaning is scheduled and completed (this includes lawn care and snow and ice removal)
:Maintain building(s) appearance daily and promote property wide safety and housekeeping
:Coordinate and oversee the Make Ready requirements for transition units.
:Maintain and monitor site inventory of tools and supplies, ensuring cost effectiveness
:Monitor work performed by outside contractors and report progress and quality to the corporate office.
:Stay informed of contract agreements with local vendors
:Respond to all emergency systems including fire alarms, sprinkler systems, and security systems.
:Respond to resident pull:cord alarm systems
:Assist the corporate office to ensure the property is in compliance with applicable local, state, and federal regulations.
:Acquire, post, and distribute emergency exit information and response procedures
:Promote property with enthusiastic professionalism to ensure positive public relations.
:Encourage resident retention
:Record interest traffic and inquiries, enthusiastically show apartments, and assist the corporate office with the application process and follow:through.
:Develop and maintain an onsite Marketing file containing current and past advertisements, promotions and press releases.
